Importing Fresh Food Cold Chain: What to Prepare

Demand for imported fresh food, chilled and frozen alike, keeps growing, but a single failure in temperature control can turn straight into a total loss. Fresh food needs far more upfront preparation than ordinary cargo. Here's what gets missed most often, from reefer booking to quarantine to clearance timing.

1. Lock in your required temperature range first

Different products need different transit temperatures (chilled typically 0–10°C, frozen typically -18°C or below), and this baseline has to be fixed before you can book the right reefer settings or get an accurate freight quote. Booking with a vague temperature spec often means resetting on-site later, which delays the whole schedule.

2. Reefer booking and PTI (pre-trip inspection)

  • Reefer containers are often harder to secure than dry ones, so booking 1–2 weeks ahead is the safe move during peak season.
  • A Pre-Trip Inspection (PTI) before loading is essential to confirm the cooling unit is working correctly.
  • Ship with a temperature data logger on board so you can prove the temperature history on arrival.

3. Check whether your product needs quarantine

Meat, seafood, and produce can all be subject to animal or plant quarantine depending on the item, and however long that takes has a direct impact on freshness. Confirm quarantine applicability and the expected timeline in advance.

4. Clearance timing is directly tied to freshness risk

Unlike ordinary cargo, even a single day of clearance delay can meaningfully reduce product value, so having every document ready ahead of time for fast clearance matters more here than almost anywhere else.
